In one of my first posts, I spent time on whyit is important that you are able to quantify what you and your staff are handling on a daily or weekly basis for your district. Now, that I have talked to even more districts across the country, I see more than ever the necessity to tracking what you do and letting those you report to know about it.

Help them see your “Big Picture”

When reporting to either your Board of Directors or your owners/stakeholders, sometimes they don’t always see the “big” picture of what you are doing and why. I sincerely believe that it is simply because they are not told in a way that is quantifiable.
They may not know of the number of calls and issues that your office receives that has to be handled. They don’t know the number of walk ins to your office or the vendors and contractors that may be in a disagreement. They may not know that on the same day you are dealing with removing a huge homeless encampment, that you are also on the phone with code enforcement helping one of the business owners. Again, this list could go on for a long time. They don’t always see what you do in order for you to continue effecting positive change on their behalf.

Doing this will allow you to value your time and energy, and when you value that, other people will value it also!

One of the biggest reasons I was so excited about PBID Reports was, historically, it was not easy to keep track of the gazillion and one things that come up in an improvement districts daily life – and who was supposed to be handling what issue. PBID Report system was really created to help Executive Directors and their staff keep track of what they were doing and to be sure that nothing falls through the cracks. It has become way more than that now, but the bottom line is that having a tool to track issues for improvement districts of any size is a game changer.

Listen, you are welcome to check out PBID Manager, but if not, not harm no foul. I would highly recommend that you would use something that can track what you are doing, because I know you do a lot. Because like one version of an old adage goes, “If a tree falls in the forest and no one hears it did it really fall?” How will they know what you are doing unless you tell them?

Make it a point today to begin really tracking the the daily little things that eventually become your week or month. You will be glad you did.
